Toastmaster of the Evening  

Being appointed as Toastmaster of the Evening (TMoE) at Sandton Toastmasters club is a great honour as well as a big responsibility, and it should not be taken lightly.  This crucial role will typically not be assigned to you until you are familiar with the Club and its procedures.  Being TMoE is excellent preparation for running any big meeting in real life. You will have two main responsibilities as TMoE:

  • Prepare the meeting beforehand
    It is your responsibility to make sure that all roles are filled, and that things run smoothly on the night.  Both of these require considerable preparation - the success of the meeting depends largely on the work you do in the weeks leading up to the meeting itself.   Be sure to ask the VP Education for a brief training on how to use Easy-Speak to prepare the meeting, if you are not already comfortable with it. Also refer to the screenshots of the key screens in the system in the checklist provided. 
  • Act as the host and make introductions during the meeting itself
    The Toastmaster creates an atmosphere of interest, expectation, and receptivity during the meeting and makes sure the meeting runs smoothly, even when things go wrong. Prepare your remarks long beforehand:
    • Participants (especially speakers) should be introduced in a way that encourages the audience to listen to them.  Introductions should have been prepared beforehand, implying that the TMoE should have had some contact with each speaker before the meeting day itself. 
    • You must ensure a smooth transition between program segments!  Prepare remarks which can be used to smoothly bridge these gaps.
    • Prepare remarks, jokes or anecdotes that you can use to occupy the audience during unexpected delays to the program (such as problems with equipment). You may never use them, but you should definitely have some extra content prepared to avoid possibly awkward periods of silence. 
    • Find out the ‘word of the day’ from the Grammarian before the meeting, and purposefully build it into your own introductions & remarks

It is also your responsibility to print out the agendas for the meeting.  You should print out about 30 to 40  (depending on how many people are expected at the meeting). The template for Sandton's booklet agenda is available here.
