In the Club Setup page, the three fields:
    Meeting automatically visible
    Allow users to volunteer on-line
    Allow users to volunteer for more than one role

are controlled by a number of days. However, our club does not meet over the summer and since the maximum number is 56 days, people in our club cannot volunteer for the first meeting of the fall.

I suggest that we add an option to allow this to be controlled by the number of meetings in advance instead. So instead of setting it to 56 days, for weekly meetings an "equivalent" setting would be 8 meetings.

Good suggestion Bobby - but would people really remember a couple of months out that they had volunteered for a role - let alone which role?
Wouldn't you want to remind people that the club is restarting by sending out a couple of e-mail and build up some on-line activity over the weeks leading up to the first meeting after the break?

Meeting mail three, by the way, sends a special reminder if the person already accepted the role - but more than two weeks previously.

Yes, in our club, people do remember a couple of months out that they had volunteered for a role, especially when it is the very next meeting (or two). We always want to make sure the major roles and speaking roles for the 1st meeting in the fall are volunteered for at our last meeting of the spring. Certainly, sending a reminder a few weeks before the meeting is a good idea, but that is besides the point of allowing people to volunteer using easy-Speak (as opposed to outside of easy-Speak which we are forced to do now) for the next meeting which is scheduled in September.

Also, myself and a few other club members in the past had made a plan for themselves for completing the CL manual and scheduled their roles for at least 6 weeks in advance and that was the point when I was asked to change the club setting to allow volunteering for roles the maximum number of days in advance (56).

This just reminds me that each club uses easy-Speak in slightly different ways, and it is great to have the flexibility that is available in the system.

Hi Malcolm,

I am running into this problem again. This time it is in regards to the new Quality Speakers club that we are starting up in January. We would like to invite the current members of the two English clubs to sign up for roles for the first few meetings to get the planning going and generate enthusiasm for the start of the new club. However, people cannot volunteer for roles online now until the earliest a month from now. For the people who already use easy-Speak, it is natural for them to volunteer for roles on-line rather than sending me email for me to manually register them.

In the meantime, perhaps as a workaround, you could change the maximum number of days before a role can be volunteered for from 56 days to 99 days for the Quality Speakers club?
