Post Post subject [RESOLVED] roles repeat in agenda, cannot be changed   Posted 17 Jan 11, 01:57    Reply with quote

Hi Malcolm, I just looked at our agenda to print out for tonight and noticed some mistake. Our Greeter position and Table Topics Evaluator come up twice. The Greeter comes up with 2 different names although only one is assigned. I cannot get rid of the second one because it always tells me that I need to delete the assigned name first. But I cannot delete a name that is not there. The Table Topics Evaluator shows with the same name twice. It requires a repetition of the role although we only have 1 Table Topics Evaluator. There is a error message when I leave it at '0'. The system puts it on 99 automatically.

Best regards,

Michaela

There was an additional problem with the printed agenda, where the role had been 'refused' or re-assigned.
Resolved in the mini-update of a few minutes ago

The Table Topics Evaluator in your club is set in the Club Control Panel that it may repeat (common enough, some clubs have two TT evaluators one for the 'even' and one for the 'odd' topics.)

That means that you MUST say which TT Evaluator will take a task in the agenda.
In the past your club didn't have this setting and some item in your agenda refer to TT Evaluator 'zero'.
If you edit one of those lines the program will say that you must specify which one that is - and set it to '99' while you think about it.

I would leave the CCP setting alone and make sure that any reference to the TT Evaluator in your meeting agenda uses repeat '1'
Make sure that you save this agenda to replace the template that will then be used for future meetings.

I don't see a Greeter in your next meeting - please confirm the club and date if you still have a problem.

I encountered similar problem when editing the meeting agenda of 6 Aug 2012. We have only ONE Sergean At Arms for the events "Guest Introduction" and "Reconvene Meeting". But don't know why it appears " Sergeant at Arms" and "1st Sergeant at Arms". How can I set only one role for the two events?
I read your reply to the post but I totally have no idea how to fix it.

@Martin.

Someone has changed the settings for SAA in your Club Control Panel to say 'Yes' to 'Can repeat?
(Can this role repeat? - eg 2nd Speaker)'

This means that you must ALWAYS define WHICH saa will take a particular action in any agenda.

You already have a Contest SAA set up (which needs to repeat for the Evaluation Contest at least) so this change to your regular SAA seems to be unfortunate and in error.

Solution:

  1. Go into the CCP and change the regular SAA to say 'No' to the repeat question
  2. Edit ths agenda and the '1st SAA' will be saved as 'SAA'
  3. Copy this agenda to replace the template that you used for the meeting so the problem does not show up again
