The second and subsequent times a guest comes to our meeting, it is difficult to record their attendance. Because the "Guest" category does not appear in the Attendance list, we have to change their status to "Special Guest" or "Candidate Member" so that they do appear in the Attendance list and then we can record that they came to that meeting. Then we change their status back to "Guest". This is awkward.

I realize that when the Guest list becomes large, it is not good to have it in the Attendance list all the time.

I suggest that the "Guest" category be made to appear in the Attendance list and that we have Holly manage our Guest list for us. This could be done as follows. At some trigger point (say when the actuals are being entered), if there are any guests who have not come back to a meeting in 2 months (this could be configured in the club control panel), then a prompt comes up asking if their status should be changed to "Past interest - NO EMAIL TO BE SENT" by the system. The person entering the actuals can say yes or no. If they say yes, then the guest would no longer appear in the guest list. If they say no, then they won't be asked this question until another 2 months (i.e. as if the guest has come to that meeting, though it would not actually be recorded that they had).

As an aside, I notice that the "Past member" category is not shown unless the "Show 'past' users'" check box is checked, but the "Past interest - NO EMAIL TO BE SENT" category is shown. I believe this last category is a special one for our club. It would be nice to be able to have this feature controlable for a member status category.

This gets me to thinking of an alternative way to handle this. Have a "Show 'Guest' uses" check box at the bottom of the Attendance list that when it is checked, the "Guest" members are added to the list of possible attendees. Not as nice as Holly managing our guest list for us, but certainly a solution.

I just noticed the "List this status of user with potential attenders?" item in the Club Control Panel "Member Status" screen. I suppose this could be used to control whether the Guest list appears in the Attendance list when entering the actuals. I see that it controls whether Guest appear on the Attendance list on the meeting screen, but not on the screen used for assigning roles (and attendance).

v2.5

A new field added to the member status screen in the CCP to allow this status to be listed in the assignment and confirm actuals screens without cluttering up the agenda screen
