Post Post subject Swopping speeches   Posted 11 Mar 11, 01:04    Reply with quote

Hello Malcolm,

I still have problems with swopping speeches for March 16th meeting. When I assign Gerard a speech, when trying to assign another speech to Louis makes them assigned the same speech. If I try to delete one, both are deleted. Gerard is doing CC#7 and Louis CC#9. It also says that they have no manual assignment, which is not true.

I will have to reopen the meeting of February 9th, because there was swopping like that with the three speeches and three speakers.

Thank you very much for your help.

Annette

There is certainly something wrong with the data there Annette.

Can you give us some background please...
How/when did you assign the speakers? Which screen
Were the speeches already in the queue or did you add them?
Have you used the 'swop' icon to move the speakers around?
Which screen did you use?
Anything more that you can add to help understand how we got here.....

Mystery solved.

You had the option 'hide repeat number' set for the Speaker role - which is OK
but...
the agenda had Speaker One repeated three times!
Result - you were trying to assign three different people to the same role

Since the repeat was hidden this was only visible on the edit agenda screen and easy to miss.

I have changed the setting for you so that the repeat is now shown for Speakers.
I deleted all speaking assignment for that meeting and corrected the repeat in the agenda.
Please make a point of saving this corrected agenda as a template to use next time
You will need to re-assign the speeches

I also ran a scan on the rest of your templates - one of them had Speaker 'zero' (which should not be possible) repeated nine times.
I have re-numbered them one to nine for you

I also went back to the 9th February meeting - which had the same problems.
So, I un-assigned the speakers and corrected the repeat numbers.

You may find that the speeches are left in limbo and cannot be re-assigned.
If so, create new speeches for those members and send me details of the 'bad' data by e-mail so I can delete them for you.

...and I finished the job by repairing "Regular Meeting 3 Speeches #2" (deleting a bucnh of redundant speaker slots, and updating the Chair President role so that it only gets one role assignment.

I reapplied this template to your March meetings which were exhibiting problems. You might like to check the role assignments for these meetings.

Hopefully this has sorted you out, and you shouldn't have any more problems in the future. I might ask, however, why you have 7 versions of a 3 speech meeting !!! (you can delete templates, u know!! :-0)

Thank you Paul! I can be somewhat neurotic about spelling, and "swop" was driving me nuts! Smile
