Why a member is getting agenda update emails?

It feels like my club members are not responsive enough to easy-speak emails because they're getting too many irrelevant updates

A member of my club is receiving emails like this:

Hello Helena,

George Kushner has used the management screen to assign various roles at the Tuesday, June 19th, 2012 meeting of Rogers Park Toastmasters.

She wasn't assigned a role at this particular meeting

Why is she getting those emails and how to control it?

One firm principle of the system is that nothing is sent out to members without this being requested by a warm human being.
Nothing is sent automatically that you can't control.

This mail was sent because Helena requested to 'watch' the meeting for changes.

That may happen for two reasons:

  1. A specific request - made by clicking on the link at the top left of the agenda screen 'watch this meeting for changes' 
  2. Helena was, at some point the Meeting Manager and the request was set then.

Either way, the solution is easy - use the link at the bottom of the email or top left of the agenda screen to stop messages about that particular meeting

Though it's not that simple

For example I have a guest speaker whom I designated as "Past interest - NO EMAIL TO BE SENT"

but he's been sent "the fifth email" with the agenda :)

P.S.

Another wasy to review and edit en-mass the meetings and topics that you are 'watching' is to go to Menubar > Profile where you will see a lit of them at the very bottom of the screen

A different problem here George...

The settings for status 'Past interest - NO EMAIL TO BE SENT' in your Club Control Panel are just not right.
The setting 'Allocate roles automatically?' was set to 'Yes' - I changed that for you
The setting for 'Treat as 'past' on the userlist?' was set at 'no' - I changed that to 'Yes' 

'Past Member', 'Guest Speaker', 'Mailing List' and 'Special Guest' also had automatic role allocation set

'Visitor' had 'May take a role' and 'Make a speech' set 

Please send details of the 'Past interest' member sent e-mail 5 - name and meeting date - and I'll investigate
