Officer Elections

Officer elections are upon us.  What better way to learn leadership skills and spice up that resume than to be an officer at PSST.  Our current officers will teach you the ropes of the trade, all you have to do is take the bull by the horns and reach for the role(s)  you feel you can fulfill. 
- Nominations are open to all members in good standing (who have paid their dues). 
- You can ask someone to nominate you or even nominate yourself.
- We will be holding nominations each Monday up to election day. 
- Members please speak to your nominees before nominating them, as a common courtesy.
- Officer terms are for a 6 month period.
- Elections will be held Nov 2nd. 
- All nominees are allowed to give a 2-3 minute speech; with those running for President allowed to give a 4-5 minute speech. 
- Election voting will be conducted from the highest ranking role to the lowest and all active members are eligible to run for multiple roles. 
-  While it is perfectly fine to nominate current officers to their position, to encourage robust leadership development throughout the club one may consider nominating existing officers into different offices.

Below are the roles, in order of hierarchy, and a brief description of each.

President  - Preside over meetings.  Organize business portion of the meeting ensuring announcements provided by officer rank.  Ensure backup in the rare event you are unable to make a meeting.  Greet guests and members.  Monitor club recognition level and submit district level reporting.  Recognize club and member achievements.  Keep the momentum of the club going making sure attendance does not drop out, all voices are heard and the atmosphere remains positive and friendly.  Ensure the club partakes in all Toastmaster contests.  Hold special meetings.  Preside over officer meetings.  Vote on behalf of the club at district events. Mentor officers in their club roles.  Backfill for other officers as required.  Included on club bank account.

VP of Education - Schedule member speeches, roles and projects at least 4 weeks out on a recurring basis and serve as a resource for questions about education awards, speech contests and the mentor program.  Ensure new members are scheduled to speak within 2 meetings of joining the club.  Assist new Toastmasters with role verification for the meeting to ensure the meeting runs smoothly.  Verify, sign and date manual projects as members complete them, and submit award applications to World Headquarters when all of the requirements are met.  Preside over the meeting if the President is unable to do so.  Greet guests and members. Ensure backup in the event you are unable to make a meeting.  Vote on behalf of the club at district events. Backfill for other officers as required.

VP of Membership - Provide guests with the information they need to join the club (suggest this be provided as a guest packet) and follow up with them.  Greet both guests and members. Strategize on ways to bring in new members, monitoring membership levels, conducting membership drives.  Process membership applications.  Administer the voting in of new members and their membership promises.  Ensure backup in the event you are unable to make a meeting. Backfill for other officers as required.

VP of Public Relations - Promote the club to the local community and internally to members and the web with benefits it provides. Update the club’s social media sites such as Facebook, LinkedIn and Meetup and share the passwords with future leadership. Publicize what’s happening at your club, such as speech contests or open houses.
Tag members of your club to help them eel engaged. Post news and announcements, success stories and education award achievements.  Share public speaking and leadership tips.  Publish club meeting times and location.  Greet guests and members. Backfill for other officers as required.

Secretary - Maintain all club records, manage club files, handle club correspondence and take the minutes at each club and executive committee meeting. You are also in charge of
updating and distributing a roster of the current paid membership and keeping the club
officer list current for Toastmasters International.  Greet guests and members. Ensure backup in the event you are unable to make a meeting. Backfill for other officers as required.

Treasurer - Manage the club’s bank account depositing dues and other club revenues, also pay club rent, social media accounts and any officer expenditures executive committee approved.  Distribute a survey to all officers to understand expected club expenditure and vet against club budget.  Maintain monthly club budgets. and reconcile bank account.  Submit membership-renewal dues $26 per person) to World Headquarters (accompanied by the names of renewing members) no later than Oct 1 and Apr 1, filing necessary tax documents and keeping timely, accurate, up-to-date financial records for the club. Remind members that if membership-renewal dues are paid late, they might not be eligible for speech contests, education awards or club recognition in the Distinguished Club Program.  Greet guests and members. Ensure backup in the event you are unable to make a meeting.  Backfill for other officers as required.

Sergeant at Arms - Ensure club facility availability.  Keep track of the club’s physical property, such as the banner, lectern, timing device and other meeting materials. You arrive early to prepare the meeting place for members and you stay late to stow all of the club’s equipment.  The sergeant at arms escorts potential new members outside of the club’s meeting place while the members vote on admitting them to the club. The sergeant at arms stands at the door while contestants compete in speech contests to ensure that the speaker is not interrupted
by latecomers.  Greet guests and members.  Ensure backup in the event you are unable to make a meeting.  Backfill for other officers as required.

Social Chair - Facilitate and market club social events at the club and via facebook and meetup.  Greet guests and members. Ensure backup in the event you are unable to make a meeting. Backfill for other officers as required.

Immediate Past President - Provide guidance to club President.  Run officer nominations.
